Choose your must-haves before the demonstration
List the problems the business needs to solve now, then separate essential requirements from later preferences. Keep the list short enough that the office can test it. A tool can have many useful features and still fail the one workflow that matters most to your business.
The suggested scale is 0 for unavailable, 1 for partial or unverified, and 2 for your scenario verified. Do not use an average score to hide a failed must-have. Write the evidence and the open question beside the score.

Use one realistic scenario for every vendor
Create a fictional Seattle, WA request with a changed estimate, an unavailable technician and a customer who has not yet approved the work. Ask the vendor to show the current owner and next action at each point. If a step is described verbally rather than demonstrated, record that distinction.
Include the people who will use the system: someone handling incoming enquiries, a field user and the office person responsible for billing handoffs. Their requirements can reveal gaps a sales presentation misses.
Record the full cost and implementation boundary
Ask for a written USD proposal that separates recurring access, setup, migration, integrations, support and any usage charges. Note what is not included and who is responsible for each setup task. An unquoted item is unknown, not free.
Compare cancellation terms, access to historical records and the export format as part of the purchase decision. Keep the proposal version and date with your scorecard so later changes can be understood.
Turn the result into a pilot decision
Choose acceptance conditions for the unresolved essentials and assign an owner to each. Run an agreed pilot before replacing the existing process. Keep a fallback available until the team can reconcile its records and perform the required tasks reliably.
