Start from the approved scope

Create the work order after the business has the required authorization. Bring forward the service address and agreed work from the current estimate, then verify that they still match the customer’s request. Do not copy an old job solely because it has a similar description.

Make the assigned person and next action explicit. If timing or access remains unconfirmed, label it that way. A work-order number should not be mistaken for proof that every booking detail is settled.

Check the technician can act from the record

Read the worksheet from the field user’s perspective. They should know the correct location, authorized contact and current scope without searching a separate conversation. Important access information belongs in a controlled record available to the assigned person.

  • Is the service address distinct from the billing address?
  • Is the current approval reference visible?
  • Are proposed and confirmed times distinguishable?
  • Is there a route for a new scope decision?
  • Does completion leave a named office owner for unfinished administration?

Record what changed during the work

If additional work is identified, use the business’s approval process before treating it as part of the existing scope. Preserve the relationship between the work-order revision and the new authorization. A note entered after completion should not imply that the customer approved the change beforehand.

Record actual work in clear language. Distinguish completed items, work deferred by agreement and unresolved issues. This makes a later enquiry easier to answer without relying on the technician’s memory.

Keep operational and financial records separate

The completed work order can support the billing handoff, but it is not an invoice. Amounts, tax treatment and payment status belong in the appropriate financial record. See the estimate, work-order and invoice guide for the distinctions.

Common questions

Is a work order the same as an estimate?

No. The estimate proposes scope and price. The work order organizes the authorized work and its completion. Link the records with stable references.

Does a completed work order prove payment was received?

No. Payment status must be checked against the financial record. Job completion and payment are separate events.
